Join Our Team Admin Assistant

We’re looking for an Administration Assistant to join our small and friendly team in our Brockenhurst office.

Working as part of a small team in the hub of the charity in Brockenhurst you will assume dedicated tasks to ensure efficient operation of the office, including administering the orangutan adoption scheme, processing donations and orders, managing stock levels and merchandise, and distributing updates and newsletters.

Duties & Responsibilities

  • Collate and process orders and donations received through the website, via email and over the telephone
  • Input adoptions and donations information into MS Access database
  • Produce letters and certificates and collate and distribute adoption packs by post and email
  • Respond to email and telephone enquiries in a timely and professional manner
  • Maintain stock and stationery levels and place orders with suppliers
  • Research new products and suppliers
  • Collate and summarise information relating to project activities
  • Distribute supporter updates and newsletters by post and email
  • Manage the outgoing mail
  • Handle any returned mail and communicate accordingly
  • Transcribe sales information into MS Excel
  • Maintain digital and paper filing systems
  • Research and book travel arrangements
  • Adhere to the procedures relating to the proper use and care of equipment and materials to include general housekeeping of office and office equipment
  • Carry out instructions from management for issues arising, and when agreed implement actions in accordance with administrative policies and procedures
  • Adhere to stated policies and procedures relating to health and safety

Key Qualifications and Experience

  • Good working knowledge of MS Office including Word, Excel, PowerPoint. Knowledge of MS Access is desirable
  • Experience of good customer care
  • Good written and verbal communication skills
  • The ability to plan your own work, work on your own initiative and meet deadlines
  • Willingness to carry out routine tasks
  • Ability to follow all office processes and procedures with excellent attention to detail
  • Passion for conservation and wildlife
  • A ‘can do’ attitude and a friendly, positive and flexible approach to work
  • Enjoy working as part of a small team
